As you may imagine I hold a lot of personal and sensitive data on my clients.\u00a0 The security of that data is very important to me, and it should be to every supplier you use.\u00a0 This website gives an indication of what you should look for from every wedding supplier you use, large or small.<\/p>\n

          I will only keep your data for as long as I need to.\u00a0 Being a wedding photographer that may be longer than is usual due to the emotional nature of the wedding photographs.\u00a0 HMRC says about 7 years.\u00a0 However, I still get clients asking after 10 years for copies of wedding photographs.<\/p>\n

            My business and your data are about as secure as I can\u00a0reasonably make it.<\/p>\n

            How your data is protected.<\/strong><\/p>\n

            I use a multi-layered approach to security \u2013<\/p>\n

            \u201cPerimeter Security\u201c \u2013 All of our IT infrastructure is stored in a secure and alarmed location. Only three key holders exist.<\/p>\n

            \u201cNetwork Security\u201d \u2013 All of the IT is further secured using strong password protection, using a mixture of alphanumeric and symbols.<\/p>\n

            I use LightBlue as a CRM system for my documents and company files.\u00a0 LightBlue IS GDPR compliant.<\/p>\n

            Photographs are stored online by a third party called Pixiset.\u00a0 Pixiset is GDPR compliant.<\/p>\n

            Portable hard drives for use off-site and on location will not have personal information stored on them, and where they do they will have password-protected encryption at the drive level.<\/p>\n

            I ensure all my servers, routers, laptops, desktops, smartphones etc are kept up to date with the relevant security patches and updates by the manufacturer.<\/p>\n

            I have ensured as much as possible that all my third party suppliers who MAY hold personal data are also GDPR compliant, and where they are not I have taken steps to remove any possible data and found GDPR compliant companies.<\/p>\n

            I use Microsoft Computer hardware with\u00a0Windows 10 operating systems.\u00a0 This is kept fully updated automatically with firewall enabled, on demand antivirus and regular antimalware software checks.<\/p>\n

            All applications running on all computers are also kept updated on a weekly basis.<\/p>\n

            My website is also set up securely and uses the HTTPS security protocol.\u00a0 All information to and from the website is therefore transmitted securely and is encrypted.<\/p>\n

            \u201cPrivilege Based\u201d \u2013 Only those who need to access your information will be able to access it. \u00a0In 99.9999% of cases that is just one person \u2013 Roberta Lee. I use multiple alphanumeric passwords for access to all of my IT infrastructure. Where access is given to another person (I may be ill, away etc) then an audit is carried out to ensure that only the required information is accessed, and the passwords are changed.<\/p>\n

            Your data is also held securely off-site with further protection provided by LightBlue, again using the same three methods outlined above.<\/p>\n

            IP Addresses.<\/strong><\/p>\n

            GDPR classes IP address as personal information so I have to mention this.<\/p>\n

            Some of the cookies mentioned above will collect your IP address.\u00a0 The vast majority of this website\u2019s users will use private Internet Service Providers (ISP) that also use something called Dynamic Host Configuration Protocol (DHCP).\u00a0 This means every time you log onto the internet you get a different IP address.\u00a0 Meaning I can\u2019t track you personally. The IP addresses will point to your ISP, and they would not give me any details unless ordered to do so by a court order.\u00a0 Users of my website who log in using corporate internet link will have their IP address taken.\u00a0 Again however that IP address would point to the business NOT to the individual.<\/p>\n

            Contact & Communication.<\/strong><\/p>\n

            Users contacting this website and\/or its owners do so at their own discretion and provide any such personal details requested at their own risk. Your personal information is kept private and stored securely until a time it is no longer required or has no use, as detailed in the Data Protection Act 1998.<\/p>\n

            Every effort has been made to ensure a safe and secure form to email submission process but advises users using such form to email processes that they do so at their own risk.<\/p>\n

            This website and its owners use any information submitted to provide you with further information about the products\/services they offer or to assist you in answering any questions or queries you may have submitted. This includes using your details to subscribe you to any email newsletter program the website operates but only if this was made clear to you and your express permission was granted when submitting any form to email process.             This website operates an email newsletter program, used to inform subscribers about products and services supplied by this website. Users can subscribe through an online automated process should they wish to do so but do so at their own discretion. Some subscriptions may be manually processed through a prior written agreement with the user, either through direct requests and sign in during communications with Bobbie Lee<\/a> Photography at wedding fayres or upon arrival at wedding fayres and by signing the sign-in sheet.<\/p>\n

            Subscriptions are taken in compliance with UK Spam Laws detailed in the Privacy and Electronic Communications Regulations 2003. All personal details relating to subscriptions are held securely and in accordance with the Data Protection Act 1998. No personal details are passed on to third parties nor shared with companies\/people outside of the company that operates this website.<\/p>\n

            Under the Data Protection Act 1998, you may request a copy of personal information held about you by this website\u2019s email newsletter program. A small fee may payable. If you would like a copy of the information held on you please write to the business address at the bottom of this policy.<\/p>\n

            Email marketing campaigns published by this website or its owners may contain tracking facilities within the actual email. Subscriber activity is tracked and stored in a database for future analysis and evaluation.             Processing & Storage of Data.<\/strong><\/p>\n

            Your personal information and any other data you give will be stored, securely, for a minimum of 36 months.\u00a0 After that time you will be asked if you wish to remain in our database.\u00a0 If you do not you will be removed.\u00a0 If you do not respond within 5 working days you will be removed.\u00a0 Your data will be deleted and\/or destroyed.<\/p>\n

            This does not apply to wedding photographs or other photographs kept online securely, nor does it apply to invoices\/receipts etc which need to keep, legally, for a period of 6 years.<\/p>\n

            If you wish the photographs to be destroyed\/deleted then I will do this also. It is YOUR responsibility to ensure you have backups.<\/p>\n

            I do not use any software to automatically process your biometric data \u2013 i.e. I don\u2019t use facial recognition facilities that can be found in the major editing applications such as Adobe Lightroom.<\/p>\n

            Requesting Copies of Personal data.<\/strong><\/p>\n

            If you wish to request a copy or your personal data please contact me<\/a> using the Subject Access Request form on this page.\u00a0 There is no charge for this (unless I believe the request is manifestly unfounded or excessive and then you will be charged a fee commensurate with the time taken for me to process your request) and will get the information to you, in a form you can use, within 28 days.<\/p>\n
